Zoom Events Help

This page helps you deal with common issues you may encounter during an OVQG event held on Zoom.

How do I join an OVQG event on Zoom?

To join an OVQG event on Zoom, click on the Zoom link for the event and enter its passcode. You can find Zoom links and passcodes for all upcoming OVQG events on the Zoom events calendar page. (Note: You must be logged in to view this page.)

The Zoom link for the monthly meeting is also emailed to members at 4 PM (ET) on the Sunday before the meeting, as part of the meeting invitation. If you haven't received your invitation shortly thereafter, please check your Junk Mail folder; if you still can't find it, email the Zoom Team at zoom@ottawavalleyquiltersguild.org.

The Zoom link for all other events is also sent to attendees via email. The timing of these emails is arranged by the host of the event.

Tips:

  • If you join the monthly meeting prior to 7:00 PM (Eastern Time), you'll be placed in a waiting room until then (or soon thereafter). Once you are admitted to the meeting, a Zoom Host will be available to greet and assist you. Feel free to stay in the main room and participate in the conversation, or move to one of the available breakout rooms.
How do I change what Zoom is doing during an event?

Zoom provides a number of controls that allow you to customize what you see and hear.

Unfortunately, Zoom's controls are device-specific, which means that they don't work the same way on all laptop and desktops computers, iPads and other tablets, and smartphones. This means that some Zoom features may not work on your device the same way they do on another attendee's device, and some may not be supported on your device at all due to hardware or software limitations.

Tips:

  • Devices with a large screen will give you the best view and have controls that are easier to use.
  • Zoom often hides its controls once you stop moving the mouse or touching the screen. To make them visible again, just move the mouse or touch the screen.
  • Some controls must be accessed by selecting the "More" button.
Why is the event audio too quiet/too loud?

You can adjust the volume of the event audio using the volume controls that you normally use on your device, rather than using a Zoom control.

If you can't hear anything, or the sound is barely audible:

  • Be sure that your device speaker is not muted.
  • If your device has multiple speakers — such as a built-in speaker and headset/earbud speakers (wired or Bluetooth) — be sure that the one you want to use is selected by your device.
Why can't people hear me?

Your microphone is automatically muted when you join an OVQG event on Zoom. During a monthly meeting your microphone is also muted:

  • when the meeting program begins (7:30 PM), and
  • when the meeting program resumes after the mid-meeting break.

To un-mute your microphone, tap Zoom's microphone button. To mute the microphone once more, tap the button again. If your device has a keyboard, you may also be able to temporarily un-mute your microphone by holding down the space bar.

If your microphone doesn't seem to be working:

  • Be sure to allow Zoom to use your device's microphone when you join the event.
  • If your device has multiple microphones — such as a built-in microphone and a microphone-enabled headset/earbuds (wired or Bluetooth) — be sure that the one you want to use is selected by Zoom.
Why can't people see me?

You are encouraged to enable your camera at OVQG events on Zoom so you can be seen by other attendees.

You can stop and start your camera by tapping Zoom's camera button.

If your camera doesn't seem to be working:

  • Be sure to allow Zoom to use your device's camera when you join the event.
  • If your device has multiple cameras — such as the front and rear cameras on a tablet or smartphone — be sure that the one you want to be using is selected by Zoom.
How do I change what I'm seeing during an event?

During the program portions of a monthly meeting the Zoom Team automatically spotlights the main subject(s) of interest, so you can simply sit back and enjoy the show.

During other events, and during the non-program portions of a monthly meeting, you can use Zoom's "view" control to choose either:

  • the "active speaker" (or "speaker") view, which gives a full-size view of the person who is currently talking, or
  • the "gallery view", which lets you see many of the other attendees as a group.

How do I use a breakout room during a monthly meeting?

If you don't want to stay in Zoom's main room during the socialization portions of a monthly meeting you can move to a breakout room. A "quiet room" and a "slide show room" (which displays slides from the previous meeting) are usually available.

To enter a breakout room, select the “Join beakout room” control, choose the room you want, and then select “Join”. You will be automatically returned to the main room at 7:30 PM and when the meeting resumes after the break, so you won't miss any of the meeting's program.

If you want to return to the main meeting room on your own at any time, select “Leave” and then “Leave breakout room”.
