Zoom MEETING HELP

This page helps you deal with common issues you may encounter during guild meetings on Zoom.

For further assistance please email the OVQG Zoom Team at zoom@ottawavalleyquiltersguild.org.

How do I join the monthly meeting?

The monthly meeting invitation is emailed to members at 4 PM (ET) on the Sunday before the meeting. If you haven't received your invitation shortly thereafter, please check your Junk Mail folder; if you still can't find the invitation, email the Zoom Team at zoom@ottawavalleyquiltersguild.org.

To join the monthly meeting, click on the Zoom link specified in the email and follow Zoom's directions. If you join prior to 7:00 PM (Eastern Time), you'll be placed in a waiting room until then.

Once you are admitted to the meeting room our Zoom Host is available to greet and assist you. Feel free to stay in the main room and participate in the conversation, or move to one of the available breakout rooms. But remember to unmute your microphone if you want to say something to everyone!

How do I change what Zoom is doing?

Zoom provides a number of controls that allow you to customize what you see and hear.

Unfortunately, Zoom's controls are device-specific, which means that they don't work the same way on all laptop and desktops computers, iPads and other tablets, and smartphones. This means some Zoom features may not work on your device the same way they do on another attendee's device, and some may not be supported on your device at all due to hardware or software limitations.

Tips:

  • Devices with a large screen will give you the best view and have controls that are easier to use.
  • Zoom often hides its controls once you stop moving the mouse or touching the screen. To make them visible again, just move the mouse or touch the screen.
  • Some controls must be accessed by selecting the "More" button.
Why is the meeting's audio too quiet/too loud?

You can adjust the volume of the meeting's audio using the volume controls that you normally use on your device, rather than using a Zoom control.

If you can't hear anything, or the sound is barely audible:

  • Be sure that the speaker you are using is not muted.
  • If your device has multiple speakers — such as a built-in speaker and headset/earbud speakers (wired or Bluetooth) — be sure that the one you want to be using is selected by your device.
Why can't people hear me?

Your microphone is automatically muted by the Zoom Team:

  • when you first join the monthly meeting,
  • when the meeting program begins (7:30 PM),
  • when the meeting program resumes after the mid-meeting break.

To un-mute your microphone, tap Zoom's microphone button. To mute the microphone once more, tap the button again.

If your microphone doesn't seem to be working:

  • Be sure to allow Zoom to use your device's microphone when you join the meeting.
  • If your device has multiple microphones — such as a built-in microphone and headset/earbuds with a microphone (wired or Bluetooth) — be sure that the one you want to be using is selected by Zoom.
Why can't people see me?

You are encouraged to enable your camera so you can be seen by other meeting attendees.

You can stop and start your camera by tapping Zoom's camera button.

If your camera doesn't seem to be working:

  • Be sure to allow Zoom to use your device's camera when you join the meeting.
  • If your device has multiple cameras — such as the front and rear cameras on a tablet or smartphone — be sure that the one you want to be using is selected by Zoom.
How do I change what I'm seeing during a meeting?

The Zoom Team automatically spotlights the main subject(s) of interest during the program portions of a monthly meeting, so you can simply sit back and enjoy the show.

During the non-program portions of the meeting you can use Zoom's "view" control to choose either:

  • the "active speaker" (or "speaker") view, which gives a full-size view of the person who is currently talking, or
  • the "gallery view", which lets you see many of the other attendees as a group.

How do I use a breakout room?

If you don't want to stay in Zoom's main room during the socialization portions of a monthly meeting you can move to a breakout room. A "quiet room" and a "slide show room" (which displays slides from the previous meeting) are usually available.

To enter a breakout room, select the “Join beakout room” control, choose the room you want, and then select “Join”. You will be automatically returned to the main room at 7:30 PM and when the meeting resumes after the break, so you won't miss any of the meeting's program.

If you want to return to the main meeting room on your own at any time, select “Leave” and then “Leave breakout room”.
