Zoom MEETING HELP

This page helps you deal with common issues you may encounter during guild meetings on Zoom.

Joining a Monthly Meeting

The monthly meeting invitation is emailed to members at 4 PM (ET) on the Sunday before the meeting. If you haven't received your invitation shortly thereafter, please check your Junk Mail folder; if you still can't find the invitation, contact the Zoom Team by email.

To join the monthly meeting, click on the Zoom link specified in the email and follow Zoom's directions. If you join prior to 7:00 PM (Eastern Time), you'll be placed in a waiting room until then.

Once you are admitted to the meeting room our Zoom Host is available to greet and assist you. Feel free to stay in the main room and participate in the conversation, or move to one of the available breakout rooms. But remember to unmute your microphone if you want to say something to everyone!

Zoom Controls

Zoom is supported on a wide variety of devices, including laptop and desktops computers, iPads and other tablet devices, and smartphones. Devices with a large screen will give you the best view and have controls that are easier to use.

Unfortunately, Zoom's controls are device-specific, which means they may not work on your device the same way they do on another attendee's device. Also, some Zoom features may not be supported on your device due to hardware or software limitations.

Tips:

  • Zoom often hides its controls once you stop moving the mouse or touching the screen. To make them visible again, just move the mouse or touch the screen.
  • Some controls must be accessed by selecting the "More" button.
Microphone Management

Your microphone is automatically muted by the Zoom Team:

  • when you join the monthly meeting,
  • when the meeting program begins (7:30 PM),
  • when the meeting program resumes after the mid-meeting break.

To un-mute your microphone, tap Zoom's microphone button. To mute the microphone once more, tap the button again.

Camera Management

You are encouraged to enable your camera so you can be seen by other meeting attendees.

You can stop and start your camera by tapping Zoom's camera button, which is located next to the microphone button.

Changing What You See

During the program portions of a monthly meeting the Zoom Team will spotlight the main subject(s) of interest for you, so you can simply sit back and enjoy the show.

During the non-program portions of the meeting you can use Zoom's view control to choose either:

  • the active speaker view, which gives a full-size view of the person who is currently talking, or
  • the gallery view, which lets you see many of the other attendees as a group.

Using Breakout Rooms

If you don't want to stay in Zoom's main room during the socialization portions of a monthly meeting you can move to a breakout room. A "quiet room" and a "slide show room" (which displays slides from the previous meeting) are usually available.

To enter a breakout room, select the “Join beakout room” control, choose the room you want, and then select “Join”. Note: You will be automatically returned to the main room at 7:30 PM and when the meeting resumes after the break, so you won't miss any of the meeting's program.

If you want to return to the main meeting room on your own at any time, select “Leave” and then “Leave breakout room”.
